We're really happy to have you in one of our shared houses. We've put a lot of effort into making the house a comfortable and enjoyable place to live, and we hope you feel right at home. We've done our best to get things set up nicely for everyone, and we really appreciate it if you can help us look after the place.
Being respectful of the property and considerate of the people you live with makes a huge difference and helps keep this a happy and easy-going house for everyone.
We want to ensure that your house is a comfortable and respectful community for everyone. To help us achieve this, we've outlined a few guidelines below. Information regarding processes during and ending your tenancy can be found HERE.
Please treat all residents with the same consideration and respect you would expect yourself. We also kindly request that you dress appropriately in communal areas in order to avoid causing offence to others.
Your tenancy agreement is personal to you, and only the individuals named in it are authorised to occupy your room.
To ensure fair usage and availability:
Guest stays are limited to a maximum of 14 nights within any six-week period. This generally translates to stays of no more than one or two consecutive nights per week. If a stay is planned to be longer than three consecutive nights, you need to let us know in advance.
Our guest policy operates on a reciprocal basis. If a guest is frequently staying at the property, we expect that the hosting tenant also spends a comparable amount of time residing elsewhere.
To maintain the convenience of all residents, guests are not permitted to use the laundry facilities independently or have personal mail and deliveries sent to the property.
For the safety and security of our community, guests must not be left unattended in the property at any time.
We prioritise the quiet enjoyment of our residents. Therefore, it is essential that all residents and their guests ensure they do not create noise that could disturb others, particularly during evening and overnight hours.
To maintain a peaceful environment for all residents, please close doors quietly and avoid letting them slam. Please be considerate of noise levels, especially late at night, and refrain from playing loud music. As a guideline, if music can be heard outside your room, it is likely too loud. Many tenants work different shifts, so please be mindful of their need for rest. We kindly request that noise is kept to a minimum before 8 am and after 10 pm.
The properties are in residential areas and all parties are strictly forbidden. The landlord works with the University, Council and Police to resolve any complaints. Having a few friends around is fine, complaints from the neighbours is not.
Every resident plays a part in keeping the property secure. Please always ensure your room door is locked, and that the front and back doors of the property remain locked at all times. When entering or leaving, please double-check that doors close fully behind you. Remember to close and lock all windows whenever you leave the premises.
Your key provides access to the front and back doors, as well as your individual room. These are security keys and cannot be copied. If you lose your key, a replacement can be obtained for a charge. If the missing key is not found, we may need to change the lock at the end of your tenancy, and this will also incur a charge.
Please be aware that you are responsible for insuring your own personal belongings, as we cannot accept liability for any loss or damage. For security and safety reasons, please keep your personal items in your room and avoid leaving them in communal areas.
You are welcome to have guests, in line with the tenancy conditions mentioned earlier. However, please remember that you are responsible for their behaviour while on the property, including any damage they may cause. For the safety of all residents, please do not allow strangers onto the property unless you are accompanying them, and never share your key with anyone. Finally, please do not remove any furniture or equipment belonging to us from your room or the communal areas.
Car parking spaces are available around the property for your convenience. Some properties are in a permit area, and a permit is required from the council. Please note that we are not responsible for any loss or damage to vehicles parked here.
For your security, certain areas of the property are monitored by CCTV. Images are stored for a short period. If any incident occurs, please contact us and/or the police as necessary.
Utilities are included in your rent. To help protect the environment and minimise the potential for future rent increases, we ask that you please be mindful of your energy and water consumption and avoid any unnecessary waste. Please refer to the separate notice for instructions on how to use the heating controls. Kindly remember to turn off the lights in your room whenever you leave.
Fire doors must be kept closed at all times when not in use. For safety reasons, tenants and their guests should not tamper with the self-closing mechanisms on any fire doors, including bedroom doors, and fire doors should never be propped open. If you notice any faults or damage to a fire door, please report it to us immediately.
To maintain clear escape routes, please do not leave any furniture, bicycles, rubbish, or other items in communal areas. The use of chip pans, fat fryers, candles, portable gas/electric/paraffin heaters, petrol, solvents, and other flammable liquids is strictly prohibited inside the property.
Barbecues are permitted in the garden area only, and you must use appropriate barbecue equipment. Please note that the entire property is strictly non-smoking, and this includes vaping. Smoking and vaping are only allowed outside, and we ask that you ensure cigarettes are fully extinguished and disposed of responsibly in the bins provided.
The primary fire escape route is through the hallways, downstairs, and out through the front door. However, please take a moment to familiarise yourself with other potential exits, such as windows and the back door, which may need to be used if the main route is blocked. A copy of the Emergency Action Plan is located in the property for your reference. Please be aware that fire alarms are tested every Friday morning.
A washing machine and tumble dryer are available for your use. To ensure fair usage and safety, please do not leave machines running while you are out. After using the tumble dryer, please remember to empty the lint trap. Please also remove your laundry from the machines promptly once it is finished. A communal ironing board and iron are provided for your use; kindly return them to their storage place after you have finished ironing.
Residents are responsible for cleaning their own rooms. Some cleaning equipment is provided for your convenience; please ensure it is returned after use. The communal areas are professionally cleaned once a week. Please note that the cleaners are there to clean, not to tidy. If items are left out and prevent cleaning, those areas may not be cleaned.
Internet access is included in your rent. You can find additional terms and conditions regarding internet use HERE.
Please note that no telephone is provided at the property.
To help keep the kitchen organised, please use only your designated shelf in the fridge and freezer for your food items, and your assigned cupboard for your dry goods. Please do not store food and equipment on the work surfaces, these areas are prioritised for food preparation. Please regularly check for and dispose of any out-of-date food from the fridges and cupboards.
We kindly ask that you clean the kitchen immediately after you have used it and place any rubbish in the bins provided. This includes cleaning up after cooking or washing up by tidying and wiping down surfaces, drying crockery, and putting it away. If the dishwasher is full, please turn it on. If it needs emptying, please take a moment to do so. Remember to wipe down the hobs, ovens, and microwave after each use. Please rinse your crockery and cutlery before placing them in the dishwasher. Please refer to the separate notices regarding recycling and general rubbish disposal. When cooking, please always use the extractor fan. We encourage everyone to do their fair share in maintaining a clean and tidy kitchen; please don't leave tasks for others.
Damage caused by tenants, where the damage causes a safety issue or interferes with the services of the house or is otherwise deemed necessary by the landlord, will be carried out and billed to the relevant tenant(s). This damage may be malicious or accidental, caused by a tenant or their guests.
As detailed above, smoking and vaping are not permitted at any of our properties; beyond being a fire risk, they cause substantial damage to the paintwork and furniture in rooms. Tenants who do not follow this rule but smoke or vape in the property should be aware that the costs to repaint and replace furniture damaged through not following this rule can be upwards of £1000. We will always pursue costs for this through guarantors and court as needed.
Communal areas of shared houses and all landlord items must be kept in the same condition at all times, taking into account fair wear and tear.
If you are aware of any damages or are responsible for any damages (personally, or as a result of your guests) please let us know as soon as possible so we can arrange for cost-effective repairs and keep any costs to a minimum.
Should you notice any faults or issues with the property, please inform us as soon as possible either by email on admin@myplace.co.uk or, in emergencies where there's a risk to tenants or the property, by phone.
We will log the problem, prioritise it accordingly, and address it as quickly as possible. Please be assured that we will always seek your permission before we or our contractors enter your room to address any issues.
